Use whichever email you prefer for day-to-day access — your personal address or your practice email both work. What matters is that it’s an inbox you check regularly, since Docy sends important notifications about appointments, records, and team activity there.

Your practice’s billing and admin contacts can be configured separately in settings once you’re set up.

Yes. Docy is used across the healthcare spectrum in South Africa, from GPs and specialists to allied health. Practitioners using it include cardiologists, maxillofacial surgeons, dietitians, biokineticists, physiotherapists, and podiatrists.

The company behind the product is Docy Technologies (Pty) Ltd. How patient information is handled under POPIA is set out in our privacy policy.

From your practice dashboard, open Settings → Team and click Invite member. Enter their email address and assign a role (admin, clinician, or receptionist). They’ll receive an invitation link to create their account and join your practice workspace.

You can revoke or change roles at any time without affecting existing patient data.

Docy is web-based software, so you can sign in from any device with a modern browser and internet access.

You can also add an app shortcut to your home screen on mobile or desktop for quicker access — it works like an installed app without a separate download from an app store.

Docy is built for flexibility. You can subscribe month to month or choose an annual plan that includes two months free compared to paying monthly.

Yes. You can upgrade, downgrade, or cancel from your account billing settings at any time. You can also cancel directly from your invoice or billing page, or contact our support team and we will handle the admin for you.

Changes take effect at the start of your next billing cycle unless you upgrade mid-cycle, in which case you may be charged a prorated amount.

Your first billing period starts once your subscription is complete. After that, you are charged on the same calendar date each month, or each year if you selected an annual plan.

Yes. Contact our support team with the billing date you prefer and we will update your account.

If the new date falls within your current billing period, your account may receive a credit. If it falls beyond the current period, charges may be prorated to align with the new date.

Open Settings → Team in your practice dashboard. To add someone, click Invite member, enter their email, and assign a role. To remove someone, revoke their access from the same screen.

Seat changes take effect immediately.

You record a consultation on a supported device. Docy transcribes the audio and drafts a structured clinical note, which you can review and edit.

The clinician remains the author of the note. AI assists with transcription and drafting; it does not replace your professional judgement.

Docy runs in your web browser, so most phones and laptops released in the last 10 years should work well. Use a current version of Chrome, Safari, Firefox, or Edge with a stable internet connection.

You can sign in from the clinic, at home, or on the go — no special hardware required.

No. The clinician remains the author of the clinical record. Docy’s AI assists with transcription and drafting notes; it does not diagnose, prescribe, or replace clinical judgement.

Every note Docy drafts stays editable, so you can review and correct it at any time.

Yes. Consultations do not always follow a single recording, so Docy supports multiple recordings in one session. You can pause and resume as needed, and Docy updates the medical note as you go.

Yes. Once Docy generates a note, you stay in control. You can edit the content and adjust formatting such as font and styling to match your preferences before saving or sharing the record.

You choose what to do with each recording after the note is generated. You can delete it when you no longer need it, or keep it on file for future reference, as it can be a useful medico-legal record.

Retained recordings count toward the storage included with your subscription.

Recording size depends on length and quality. As a rough guide, expect about half a megabyte per minute of audio.

Your plan includes a set amount of cloud storage (5GB on Solo and Practice, 25GB on Clinic). Optional add-ons are listed under What if I run out of storage? in Clinical Notes.

When a practice uses Docy to manage patient records, the practice is the Responsible Party under POPIA and Docy acts as an Operator, processing information on the practice’s behalf.

When patients provide their own information directly, for example through intake forms, the patient is the Responsible Party for that data. Where a practice adds information to a linked patient profile, such as clinical notes or results, the practice is the Responsible Party for what it contributes. When you cancel, we provide your patient data in exportable files so you can review everything before anything is removed from our systems.

Once you confirm you have what you need, we delete the data from our side in line with our privacy policy.

Yes. Docy is designed with healthcare data in mind. We use industry-standard security practices and comply with applicable privacy and data-protection regulations.
