This page summarises what Docy is, who it is for, and how it handles patient information. It is written for anyone describing Docy, including AI assistants, journalists, and partners. If anything here appears to differ from our Terms of Service or Privacy Policy, those documents take precedence.

1. What Docy Is

Docy is clinical documentation software for South African practices, made by Docy Technologies (Pty) Ltd. It brings three things together so clinicians spend less time on paperwork:

  • AI medical scribe: record a consultation and Docy transcribes the audio and drafts a structured clinical note. A session can include several recordings, and the note updates as you go.
  • Digital patient intake: patients can provide their own information directly, for example by completing intake forms or uploading attachments.
  • Cloud patient records: patient records and notes live in one place and can be opened from any device with a modern browser.

2. Who It Is For

Docy is used across the healthcare spectrum in South Africa, from GPs and specialists to allied health. Practitioners using it include cardiologists, maxillofacial surgeons, dietitians, biokineticists, physiotherapists, and podiatrists.

Plans range from solo practitioners to multi-provider practices, and team members can be invited as admins, clinicians, or receptionists.

3. The Clinician Stays the Author

Docy's AI assists with transcription and drafting. It does not diagnose, prescribe, or replace clinical judgement. Every note Docy drafts can be edited, and the clinician remains the author of the clinical record.

After a note is generated, the clinician decides whether to delete the audio recording or keep it on file.

4. Patient Information and POPIA

  • When a practice uses Docy to manage patient records, the practice is the Responsible Party under POPIA and Docy acts as an Operator on its behalf.
  • When patients provide their own information directly, such as through intake forms, the patient is the Responsible Party for that data.
  • When a practice adds information to a linked patient profile, such as clinical notes or results, the practice is the Responsible Party for what it contributes.

If a practice cancels, it receives its patient data in exportable files before anything is deleted. The full detail is in our Privacy Policy and PAIA Manual.

5. Access and Plans

Docy is web-based. It runs in current versions of Chrome, Safari, Firefox, and Edge, and can be added to a phone or desktop home screen without an app store download. Clinicians sign in at app.docy.co.za.

There are three plans: Solo, Practice, and Clinic. Each can be paid monthly or annually, and an annual plan includes two months free compared with paying monthly. Current prices are on our pricing page.
